What information do we collect?
Depending on how you interact with us, we may collect:

- Enquiry information: the content of your messages and our correspondence with you.
- Subscription information: your communication preferences and records of when and how you subscribed, gave consent or withdrew it.

- Website usage information: pages visited, interactions with our website and the website or link that brought you to us, subject to your cookie choices.
- Email engagement information: whether you open an email or click its links, where you have separately agreed to this tracking.
We receive information directly from you and, where relevant, through the website and email services described below.
You can browse our website without subscribing to emails. If you contact us, we need sufficient information to respond. Required fields will be identified on our forms; if you do not provide them, we may be unable to deal with your request.
Please avoid including sensitive information, such as health information, in general website enquiries unless we have specifically requested it through an appropriate process.

Email subscriptions and tracking
We send newsletters and promotional updates to people who have opted in to receive them. We record your subscription choice and may ask you to confirm it by email.
You can unsubscribe at any time using the link in our emails or by contacting privacy@renaisi-innovation.com. Withdrawing consent does not affect the lawfulness of our use of your information before withdrawal.
We use Mailchimp to manage our mailing list and send emails. It processes subscriber information on our behalf for these purposes.
After you unsubscribe, we may retain a limited record of your email address and opt-out preference to ensure you are not added back to our mailing list inadvertently.
Who receives your information?
We do not sell your personal information.
We share information where necessary with service providers supporting our website and communications, including:
- website hosting, maintenance and IT support providers;
- Mailchimp, for mailing-list management and email delivery; and
- Google and LinkedIn, where their tools are enabled in accordance with your consent choices.
The website also uses Adobe Fonts to display its typefaces. Your browser connects to Adobe to retrieve these fonts, which involves sending your IP address to Adobe. Providers processing information on our behalf must act under appropriate contractual terms, follow our instructions and protect the information.

We may also disclose relevant information to professional advisers, regulators, courts or law enforcement bodies where we have a lawful basis, for example to comply with a legal obligation or obtain advice concerning a legal claim.
Information processed outside the UK
Some suppliers process personal information outside the UK, including in the United States. Our hosting platform currently uses infrastructure in the United States.
Where a transfer is subject to UK international transfer restrictions, we use an applicable legal mechanism. This may be UK adequacy regulations or appropriate contractual safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the European Commission’s Standard Contractual Clauses. Where required, we assess the protection available in the destination country and implement additional safeguards.
How long we keep information
We keep personal information only for as long as necessary for the purpose for which it was collected.
- Enquiries and correspondence: for the time needed to respond, complete any resulting follow-up and retain necessary evidence of our dealings. Any further retention depends on applicable legal requirements or a specific need to establish, exercise or defend legal claims.
- Mailing-list information: while you remain subscribed. We review the continuing need to retain inactive subscriptions.
- Consent and unsubscribe records: for as long as necessary to demonstrate compliance and honour your communication preferences.
- Technical logs: 28 days.
- Website analytics and email engagement information: 2 years.
- Data protection requests and complaints: We retain records of data protection requests and complaints for as long as necessary to demonstrate compliance with our legal obligations, respond to subsequent enquiries or complaints, and establish, exercise or defend legal claims where necessary. Records are reviewed and securely deleted or anonymised when no longer required.

When information is no longer needed, we delete it securely or anonymise it so that it no longer identifies you.

Keeping your information secure
We use appropriate technical and organisational measures to protect personal information against unauthorised access, unlawful use, accidental loss, destruction or damage.

Exercising your rights
You can contact us using the details above. You do not need to use a particular form.
We normally respond without undue delay and within one calendar month. Where legally permitted because of the complexity or number of your requests, we may extend the deadline by up to two further months. We will explain any extension within the initial response period.
We may request proportionate information to verify your identity where necessary. For access requests, we may seek clarification where reasonably required and pause the response period as permitted by law. We will explain how this affects the deadline.
Requests are normally free of charge. If a legal exception means we cannot fulfil all or part of your request, we will explain the reason and your options for challenging our response.
